1) What is an article?
You can create articles for any additional products that do not offer direct participation to activities, such as equipment (e.g. yoga mats) or drinks (e.g. teas) that you can sell or lend (e.g. if you charge money for equipment) onsite.
You can do this via the menu Financials > Selling or via the the Sign In of an activity.
IMPORTANT: Articles cannot be sold online. Accordingly, they are not displayed in the shop.
2) Create an article
Click on the menu item Products > Articles. There you will find the function 'New article' in the top right corner.
Now you can fill in the fields from top to bottom:
Article Group: You must assign each article to a group (e.g. 'Equipment') to categorize them. You can create these groups individually by clicking on the button "Create new article group".
If you have already created a group, you can edit it by clicking on the pencil icon (see screenshot).
Article name: Give the article a name, that appears when selling it (e.g. 'bottle of water').
Article number: If you use a barcode scanner, you should enter an article number.
Description: (optionally) this only appears internally.
Selling price: First enter the gross price. Then you select the account with the right VAT rate, the net price is automatically calculated.
It is important to tick the box 'Show in cash register', otherwise you will not be able to sell it.
You can check 'Enable price adaptions for selling' if you want to adjust the price of the item flexibly when selling it (i.e. when giving discounts).
Purchase price: Here you can enter information about the purchase price for your internal documentation.
3) Edit, archive and delete articles
You can edit or archive articles any time just by clicking on the three points next to each article.
Edit - Here you can edit the article later and adjust i.e. the price. This applies to all future sales. Sales in the past remain unaffected.
Archive - If you no longer offer that article, you can archive it. You will find the archive under the tab Articles > More > Archived articles.
You cannot completely delete an article, as it may have been sold before in the past.
If you work with the Inventory Management, you can set the number of stock for the item and adjust it accordingly any time. Whenever you sell an item through the system, inventory is automatically reduced.
